AP 08 - Office Health and Safety

This procedure is intended to outline how Health and Safety will be managed at the Head Office at Redeham Hall.

1. Responsibilities

It will be the responsibility of all department heads to ensure that this procedure is implemented.  It will be the responsibility of the Managing Director to ensure that this procedure is followed.

2. New Starters

All new staff attending the office on their FIRST DAY will be given a Company induction by their departmental head.  The induction will consist of a briefing on this procedure.  Upon completion of the induction, the head office new starter form must be completed and passed to the HR department.

3. Fire

A fire risk assessment has been carried out and contained in the office file held by the Office Manager.  A fire plan has been posted in prominent positions within the building showing the location of the nearest fire exit and the location of the muster point.

Fire extinguishers have been strategically placed around the building and are checked on a monthly basis, the checks are recorded in the registers held by the Office Manager.  All offices are fitted with smoke detectors connected to the central fire alarm and call centre.  All staff are required to clock IN / OUT of Head Office the Fire register is printed from this record upon the triggering of an evacuation. The system has a temporary backup supply in case of a power cut, upon hearing the alarm; the receptionists can produce a printout in less than one minute to enable a role call at the muster point.

In the event of a fire alarm the most senior person in the building will conduct a roll call and liaise with the fire brigade.

4. First Aid

First Aid Equipment is located in the upper and lower kitchens of the main building. All first aid boxes are checked monthly and recorded in the registers held by the Office Manager.  The First Aid Book is located in the main reception. Upon completion, all entries are to be removed from the book and passed to the Safety Department.

The First Aiders details are displayed on all notice boards.

5. Smoking

All offices are no smoking areas.  Smoking is permitted outside of the building in the designated smoking area.  All cigarette butts are to be extinguished and placed in the bins provided.

6. Security

All staff are reminded that it is their responsibility to ensure that their office is left secure with all windows and doors locked.  The main gate works on an entry card system. Cards will be issued to all vehicle drivers. The gates will automatically open upon activation of the fire alarm.

7. Visitors

All visitors are to log in and out of the building using the registers located at reception. It is the host’s responsibility to ensure that their visitor is escorted at all times while in the confines of the head office.

8. Housekeeping and Storage

The presentation of the office is important to the company as we are often visited by potential clients.  It is a legal requirement to maintain the workplace in a safe condition with minimal risk to the safety or health of the employees.  It is in the best interests of all staff to adhere to this requirement to reduce the risks of fire, and slips, trips and falls.  All rubbish should be removed to an area in the office away from any access routes. The rubbish will then be cleared at the end of the day by the contract cleaners. Storage of boxes and other materials should be in areas away from access routes and in a tidy and safe condition.

9. Deliveries

All deliveries made to the office should be cleared away from the reception area at the earliest opportunity. Reception will contact the relevant recipient to collect any deliveries from the reception area. Again, we have numerous visitors to the head office, and the reception area needs to remain well presented and free from boxes, packages and the like.

10. Parking

There are two main areas of available parking to the left of the main access drive. Parking in front of the main building is strictly prohibited except for visitors.  All other parking is to be kept to the main car park areas. All staff are reminded to park considerately to maximise the available space. Should any unfortunate incidents occur, then these are to be reported to reception.  ​​​​​​​
